TailVet Privacy Policy

This policy explains how TailVet (“we”, “us”) collects, uses, shares, and retains information when you use the TailVet app (“App”). TailVet connects pet owners with veterinarians for pet-care tools and consultations.

Not a veterinary diagnosis. Symptom-check results use fixed rules and provide general information only. They are not a diagnosis or treatment recommendation. Consult a qualified veterinarian; seek urgent care for severe or sudden symptoms.

1. Information we collect

Account: name, email address, profile photo, internal account identifier, and the role you choose, provided through Google Sign-In.
Pet profiles: pet name, species, breed, sex, age, and weight that you enter.
Symptom checks: questionnaire answers, optional photos, rule-based urgency result, and timestamps.
Reminders: reminder title, type, due date, completion state, and related pet.
Consultations: appointment details, chat messages, and prescriptions issued by a veterinarian.
Veterinarian profiles: professional details a vet publishes, including qualifications, registration/license number, clinic, city, consult modes, languages, email, verification, and booking availability.

The current App does not request precise location or a phone number and does not process payments. Optional symptom photos are stored with a symptom check and may be shared with the assigned veterinarian for an appointment.

2. How we use information

To operate the App, including sign-in, pet profiles, reminders, bookings, chat, and prescriptions.
To calculate rule-based symptom-check results on your device.
To share appointment-related details and triage information with the pet owner and assigned veterinarian.
To secure the service and respond to account and data-deletion requests.

3. Symptom checks and photos

Symptom-check urgency is calculated on your device using fixed rules. Questionnaire answers and optional photos are stored in Firebase. If you book a veterinarian and share a recent symptom check with that appointment, the assigned vet can review the answers and photo. Photos are not analyzed by an automated service.

4. How information is shared

With veterinarians: a vet assigned to your accepted appointment can view relevant pet details, chat messages, and the triage information shared for that appointment.
Service providers: Google Firebase provides authentication and cloud data storage. Google processes account sign-in information for Google Sign-In.
Legal and safety reasons: where required by law or necessary to protect rights, safety, and security.

We do not sell personal information.

5. Storage and security

App data is stored using Google Firebase/Google Cloud infrastructure. Data is transmitted over encrypted connections (HTTPS/TLS). Access is restricted by Firestore security rules to the account owner and, for an appointment, the assigned veterinarian. No transmission or storage method is completely secure.

This public legal website is hosted by GitHub Pages. GitHub states that it logs visitors’ IP addresses for security; see the GitHub Privacy Statement.

6. Retention

Account, pet, and veterinarian profile information is retained while the account is active and deleted when the account is deleted. On account deletion, chat messages and appointment-linked triage copies are deleted. Appointment and prescription records needed for operational and audit purposes are de-identified and retained for no more than 730 days from creation or issue. A minimal deletion record without name, email, or photo is retained for no more than 730 days.

Reminders: until 30 days after their due date, capped at 730 days after creation.
Standalone symptom checks and optional photos: up to 90 days after submission.
Appointments, consultation messages, appointment-linked triage copies, and prescriptions: up to 730 days from creation or issue. Appointment-linked triage copies are deleted sooner if either account is deleted.

If a binding legal requirement requires a specific record to be retained longer, we retain only what is required and limit access to it.

7. Your choices and deletion

You can view and edit your profile and pet information in the App.
Delete your account using the in-app Delete account option, or follow the instructions on our account-deletion page. Personal account, pet, reminder, standalone symptom-check, chat, and appointment-linked triage data are deleted. De-identified appointment and prescription audit records may be retained for up to 730 days as described above.

8. Children

TailVet is intended for adults managing pet care and is not directed to children. We do not knowingly collect personal information from children.

9. Changes

We may update this policy. We will update the date above and, where appropriate, notify users in the App.
